Getting Started

The following is a step by step guide to setting up your ItemisedInvoicing account. We recommend working through this guide as you set up your account, it takes longer to read the instructions than it does to carry out the steps. Don't worry if you go wrong everything can be edited later.

These buttons are used throughout the site:

First Login

First loginAfter registration following the verification of your email (by clicking the link in the welcome email) you will see the screen on the right.

The items in red need to be addressed before you can start creating quotes, invoices and bills of quantities.

The last two red items note that this is a VAT registered business and didn't enter their VAT number during registration for their ItemisedInvoicing account. This needs to be entered if you wish to include your VAT number on documents. If the VAT number was entered at registration this will be displayed here instead.

To edit your account information go to:Account Edit Nav

On your account edit page you can change your details except your business name, this can only be made by contacting support.

If not entered, enter your VAT number or if not VAT registered chose the 'No' option.

Note: If you change your VAT status after you have entered products all of the prices will reflect the previous state and you will need to change each price separately.

At the bottom of the account edit page there is a field to add any terms and conditions that you wish to appear on your quotes and invoices.

Once you have made your changes click the 'Edit Account' button at the bottom. Confirm the changes are correct and return to the home page.

Add TaxSet Tax Rate (optional)

If VAT registered click the link 'Please set you tax rate here' otherwise skip this step.

The tax name is pre-populated as VAT but this can be changed if required. Enter the appropriate tax rate. The protected option prevents the tax from being inadvertently deleted. Click 'Add Tax'.

Return to the home page and set up the remaining sections in the following order: Suppliers, Categories and finally Products. (If you proceed in a different order you make more work for yourself.)

You can add as many suppliers as you wish.

If you don't wish to enter all of your suppliers now you can add more by going to the main menu Catalogue > Suppliers List > Add Supplier

 

 

Add categoriesAdd categories

When you add your first category the parent list is empty but as you add more categories you can chose to make them sub-categories up to 4 levels deep. Most supplier websites only go to 3 levels deep so you can mirror the layout of your favourite suppliers website with ease if you want.

How you structure your categories is entirely up to you. If you only have a few items one category may be all that is required but if you have an inventory that runs into hundreds or thousands a more structured approach will make it easier to find items later.

You don't have to get it right first time, you can add new categories and move others at any time.

Add ProductAdd products

Complete the fields as required, a product can only be assigned to one supplier (but you can swap the supplier later if required by using the edit facility).

The product SKU & URL are optional but make it easier when checking details or ordering items later. If you have the information to hand it makes sense to add the information now - copy & paste from the suppliers website is a good method.

Repeat above steps as required by selecting the option under the Catalogue menu drop down.

Add userAdd users (optional)

The final set up option is to add extra users as required.

To add a new user simply click 'Add User' from the home page and complete the details. There are 3 access levels:

Once added the chosen password and link to the site needs to be sent to the user. The user can then change their password once they login using the 'Change my password' option from the menu.

Basic configuration complete.

You can now set up your customer records and projects.
